Privacy Policy

This Privacy Policy explains how Visuvate (“we”, “us”) handles information when you use the Visuvate Dashboard (the “Service”), a private workspace holding two tools: Invoice and Carousel. The Service is an internal business tool intended for Visuvate and people it explicitly invites. There is no public access to any part of it.

Information we collect

  • Account information. Your name and email address, either entered when your account is created or provided by Google when you sign in with Google.
  • Authentication data. If you sign in with Google, we receive your basic Google profile (name, email address, and verified-email status) solely to identify your account. We do not receive your Google password.
  • Invoice content. Information you enter to create invoices — such as client names, contact details, line items, amounts, dates, and payment details.
  • Carousel content. The designs you build — titles, copy, colours and layout — together with any images you upload into them, and a small cover image generated automatically so the design can be shown as a thumbnail in your list.
  • Technical data. A session cookie required to keep you signed in, a cookie remembering whether your sidebar is collapsed, a browser-local record of your light or dark theme preference, and standard server logs (such as error logs) used to operate and secure the Service.

How we use information

  • To authenticate you and provide access to the tools an administrator has granted you.
  • To create, store, display, and export the invoices and carousel designs you produce.
  • To operate, maintain, secure, and improve the Service.

How we use Google user data

When you choose “Continue with Google”, we use your Google account’s email and basic profile only to verify your identity and match it to an authorised account. We do not use Google user data for advertising, and we do not sell it or share it with third parties. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Storage and security

Data is stored in a private database on our hosting provider’s servers. Access is protected by authentication, passwords are stored only as secure hashes, and the Service is served over HTTPS.

Uploaded images. Images you add to a carousel are stored as files on our server rather than inside your browser, so that a saved design still renders when reopened elsewhere. Each file is named after a hash of its own contents, which means an identical image uploaded twice is stored once. Directory listing and script execution are disabled in that folder.

Please note that these image files are served directly by the web server and are not individually placed behind the sign-in check: anyone who has the file’s full, effectively unguessable address can open it without an account. Treat an uploaded image as shareable-by-link, and avoid putting confidential material into carousel artwork.

Exports

Image and PDF exports are rendered in your own browser and downloaded directly to your device. Exported files are not uploaded to us or to any third party as part of exporting.

Sharing

We do not sell your data. Information is processed by our hosting provider strictly to run the Service. Google Fonts is loaded from Google’s servers to display and export the correct typefaces, which means Google receives the request for those font files. We may disclose information if required by law.

Data retention

We retain account, invoice and carousel data for as long as the account is active. Deleting a carousel removes its record; because uploaded images are shared by content between designs, an image file may persist until it is no longer referenced. On request, an account and its associated data can be removed.

Your choices

You may request access to, correction of, or deletion of your personal data, and you can revoke Google access at any time from your Google Account permissions.
